Data Deletion.
You can ask us to delete the personal data we hold about you. This page explains what to include in your request, how we verify it, and how long it takes.

§01
What you can request
You may ask us to delete the personal data we hold about you, including your account profile, workspace or organisation configuration, content you have submitted, and associated metadata. Where you have linked our service to a third-party platform, this request covers the personal data we hold; it does not cover data held by that platform under its own terms.
Some data may be retained after deletion where we are required or permitted to keep it under applicable law (for example, tax, accounting, fraud-prevention, or other record-keeping obligations), or where it is necessary to enforce our rights. Retained data is isolated and used only for those limited purposes.
The rest of this page assumes you are a HeyJane account holder — a Venue that has signed up for the service. If you are not a HeyJane account holder but instead a customer who has messaged a Venue's WhatsApp number, see “If you messaged a business through this service” below instead.

How to request deletion
Email privacy@heyjane.io from the email address associated with your account, with the subject line Data Deletion Request. Please include:
- your full name and the email on the account;
- the workspace or organisation identifier shown in your account settings, if applicable;
- a brief statement confirming you are the account holder and want your data deleted.
We may need to verify your identity before processing the request. Once verified, we will delete the data, or remove the means by which it can be associated with you, and confirm the outcome by email.

If you messaged a business through this service
If you are not a HeyJane account holder, but rather a customer who has sent WhatsApp messages to a business (a “Venue”) that uses our service, you can still ask us to delete the personal data we hold about you — your WhatsApp message content, phone number, profile display name, and any order details tied to that number. You will not have an account email or workspace identifier to give us, so please email privacy@heyjane.io with the subject line Data Deletion Request — Customer instead, and include:
- the WhatsApp phone number you messaged the business from (including country code);
- the name of the business you contacted, if you know it, to help us locate the right conversation;
- a brief statement confirming you are the person behind that number and want your data deleted.
As explained in the Privacy Notice, the Venue you messaged — not us — decides why and how its customers' data is processed; we act only as a data intermediary on the Venue's instructions. We may need to verify your request and coordinate with the Venue before deleting the data or removing the means by which it can be associated with you, and will confirm the outcome using the contact details you provided.

Timing
We respond to deletion requests as soon as reasonably possible. If we cannot complete the request within 30 days of receiving it, we will inform you in writing of the time by which we will respond.

Effect of deletion
Once processed, deletion cannot be undone by us. If you are a HeyJane account holder, after deletion you will lose access to your account, and we will no longer be able to provide the service to you; if you sign up again later, you will start with a fresh account. If you are a Venue's customer, once we process the request we will delete the personal data we hold about your past WhatsApp conversation, or remove the means by which it can be associated with you, as described above — and a new conversation you start afterwards will begin with no history. Residual copies in routine system backups are purged on the standard rotation.
